The Veterinary Clinic That Put My Pet Supply Business on a Real Invoice
By Sandra Liu, Pet Supplies Business Owner — Raleigh, NC
I started Pawprint Supply Co. in 2020 as an online store selling specialty and natural pet supplies — grain-free treats, organic supplements, handmade leashes and collars, slow-feeder bowls. I curated small-brand products that weren’t available at large pet chains and sold direct-to-consumer through Shopify and Etsy.
By 2021, I was doing about $5,800/month. Then two veterinary clinics reached out.
The first was a holistic vet practice in the Research Triangle. They wanted to carry my line of canine supplements — a private-label product I was producing through a small manufacturer. They asked about wholesale pricing and wanted to order 48 units per SKU monthly.
I had no wholesale pricing structure. I had no purchase order system. I had no invoice template that looked professional enough for a medical practice’s accounts payable.
I built all three in InvoiceFlow over a weekend.
The Wholesale Pet Supplies Invoice
Wholesale Order — [Veterinary Practice Name] — [Date]:
- Account: [Practice name] | Contact: [Office manager name, email]
- PO Number: [PO-####]
- Resale certificate: On file
Items:
- Canine Joint Support Supplement (48-count bottle), qty: 48
- Wholesale unit price: $16.50
- Extended: 48 × $16.50 = $792.00
- Canine Calming Chews (30-count bag), qty: 24
- Wholesale unit price: $14.00
- Extended: 24 × $14.00 = $336.00
- Canine Omega-3 Liquid (4oz), qty: 36
- Wholesale unit price: $12.75
- Extended: 36 × $12.75 = $459.00
- Subtotal: $1,587.00
- Shipping: $0.00 (free shipping on orders over $1,000)
- Order total: $1,587.00
- Payment Terms: Net-30
- Note: Minimum order $500 per SKU category. Reorder cycle: monthly.
The “minimum order per SKU category” line helped me avoid situations where a practice orders 6 units of a 48-unit minimum SKU and I have to explain the minimums after the fact.
Monthly Subscription Boxes (Consumer)
My subscription box — a monthly curated selection of natural pet products — was where I first used InvoiceFlow’s recurring invoice feature.
Monthly Pet Box Subscription — [Subscriber Name] — [Month Year]:
- Subscription: Pawprint Monthly Box — [Small/Medium/Large Dog | Cat]
- Contents: [N] products — natural treats + supplement sample + accessory (rotating monthly)
- Subscription rate: $[amount]/month
- Invoice auto-generated and sent on the [N]th | Pay via the payment link/method shown on the invoice
- Skip/pause: 5 business days notice required
- Cancel: Cancel anytime before next billing date
52 active subscribers at an average of $38/month = $1,976/month before I open the store.
Corporate Pet Gifting (Offices with Pet-Friendly Policies)
Several Raleigh tech companies with pet-friendly offices started ordering gift sets for employee pets. Holiday gift boxes, new employee welcome pets, work anniversary gift sets.
Corporate Pet Gift Order — [Company Name] — [Date]:
- Order: [Holiday Pet Gift Set / Employee Welcome Package / Work Anniversary Box]
- Quantity: [N] sets | Contents: [Custom configuration with premium treats + toy + supplement sample]
- Customization: [Branded bandana / Custom card / Company logo tag] — setup fee: $[amount]
- Per-set product cost: $[amount] × [N] = $[total]
- Customization: $[amount]
- Packaging and gift wrap: $[amount]
- Shipping: $[amount]
- Order total: $[total]
- Deposit (50%, due at order confirmation): $[deposit]
- Balance (due before shipment): $[balance]
- PO Number: [PO-####] | Estimated ship date: [Date]
Pet Training and Service Provider Wholesale Accounts
Dog trainers, groomers, and doggy daycare facilities are natural wholesale customers for premium leashes, collars, training aids, and treats.
Wholesale Account — [Service Provider Name] — [Date]:
- Account type: [Dog trainer / Groomer / Boarding facility / Doggy daycare]
- Items: [Specialty leashes, training treats, grooming accessories — itemized]
- Wholesale pricing (35% off retail)
- Minimum order: $250/order
- PO Number: [PO-####]
- Payment Terms: Net-15
Service provider accounts get shorter payment terms than veterinary practices because they’re smaller operations — net-15 manages my receivables better.
The Business Four Years In
Current revenue breakdown:
- Direct-to-consumer (Shopify + Etsy): approximately $7,200/month
- Veterinary clinic wholesale (2 practices): approximately $4,600/month
- Pet service provider wholesale (4 accounts): approximately $2,100/month
- Monthly subscription boxes (52 subscribers): approximately $1,976/month
- Corporate pet gifting: approximately $1,400/month (seasonal peaks)
- Total monthly revenue: approximately $17,276/month
Before wholesale: $5,800/month. After: $17,276/month. The veterinary clinic accounts represent the most reliable revenue — they order on a predictable monthly cycle and pay on time.
What InvoiceFlow Does for Pet Supply Businesses
Pet supply billing spans wholesale accounts for veterinary practices and pet service providers, monthly subscription boxes with auto-billing, corporate pet gift orders with deposit structures, and direct consumer sales. InvoiceFlow handles all of these from one Android app — wholesale templates with minimum order notes, subscription auto-billing, deposit tracking for corporate orders, and PO fields for professional accounts.
Download InvoiceFlow. Build the wholesale template with your pricing tiers and minimum order policy. Set subscription boxes to auto-bill monthly. Add the deposit structure to corporate gift orders. The veterinary clinic that reorders monthly is more reliable than your best single-day consumer sales spike.
